Overview
When your experience uses Behaviour Tracking, students who sign up or sign in with their email address are sent a sign-in email containing a magic link. Clicking the link verifies their email address and signs them in.
You can now customise the wording and appearance of this email from the CMS, so it reflects your institution rather than the Vepple defaults. You can set the university name shown in the sender line, the heading, the body text, the button label and style, and add your logo.
Prerequisites
- Lead Capture must be enabled and set to Behaviour Tracking. The Sign-in email options only appear in this mode. See How to enable Lead Capture for optimising Volume and Engagement Vs Behaviour Tracking.
- You will need Admin access to your CMS.
Where to find the settings
In your CMS, go to Site Options > Lead Capture and select the Sign-in email tab.
What you can customise

How to update the email
- In your CMS, go to Site Options > Lead Capture and select the Sign-in email tab.
- Fill in the fields you want to customise. Anything left blank falls back to the default shown above.
- Click Update to save.
- To see the result, open your experience and sign up or sign in with a test email address. The email you receive will use your new settings.
Good to know
- The magic link expires 6 hours after the email is sent. The email tells the student this below the button.
- Sign-in emails are sent from no-reply@vepple.com, with the sender name "Vepple on behalf of [your university name]". This address is not monitored and the email says so.
- The button always uses a standard email-safe font, even if your chosen button style uses a custom font on your website. Email clients cannot load web fonts, so this keeps the email looking consistent for every recipient.
- Character limits are enforced when you save, and any older text over the limit is shortened when the email is sent, so your layout cannot break.
FAQs & Troubleshooting
My logo is not showing in the email.
Check the file is a PNG. SVG files are not supported by email clients, so they are ignored. A square (shield) version of your logo works best.
The button font does not match my website.
This is intentional. Email clients cannot load custom web fonts, so the button uses a standard font that renders reliably everywhere. The button's colours, shape and weight still come from your chosen button style.
My text is being cut off.
Each field has a character limit (shown in the table above). Shorten the text to fit within the limit.
I cannot see the Sign-in email tab.
The tab only appears when Lead Capture is set to Behaviour Tracking. In Volume and Engagement mode there is no sign-in email, so the options are hidden.
Can I change the expiry time or the footer text?
No. The 6 hour expiry, the "you can safely ignore it" line and the footer are fixed for all institutions.
